Annual general meeting notice — at least 14 daysLater AGMs carry the motions NSW expects, including fund estimates. Insurance particulars travel with the notice; they are not a vote. Fire safety, defects and optional extra insurance stay available where they apply. The chairperson still declares quorum and results. NSW: how to run a meeting
- Meetings
General meeting 7 days · committee 3 daysAttendance, proxies, the 25% unit-entitlement quorum and the two-person minimum for multi-owner schemes are calculated in the product. Ordinary votes, polls, special resolutions (no more than 25% against by unit entitlement) and unanimous resolutions are recorded with an explicit declaration. NSW: strata meetings

Separate funds, budget, 10-year capital works planDay-to-day and long-term repairs stay in two funds. Owners adopt estimates at a meeting. The 10-year plan follows the NSW form path from 2026 and is reviewed at least every five years. Generating a draft is not the same as owners adopting it. NSW: 10-year capital works plan

Contributions, 30 days' notice, hardship informationThe determination sets the amounts and the instalment rhythm — quarterly is the usual proposal, not a hidden law. Notices include the Financial Hardship Information Statement content. Interest, if the scheme turns it on, is the statutory 10% simple rate with the one-month waiver. NSW: levy notices
- Fire
Annual fire safety statementA recurring task walks assessment, issue, council and FRNSW lodgement, and display. SimpliStrata does not certify the building. An accredited practitioner still does the assessment; a person still lodges the statement. Fire and Rescue NSW
- Insurance
Three quotations before renewalThe task is to arrange quotations and keep the certificate with the documents. Particulars go out with the AGM notice. The product does not bind cover or choose an insurer for you. NSW: levies, finances and insurance
- People
Strata roll and tenancy noticesEach owner: name, an address notices can be served at, the lot, and how it is held. A company lot names a nominee. A tenancy notice is due 14 days after the lease starts. Office-holder and contact changes feed a Strata Hub update task (28 days). NSW: record keeping
- Strata Hub
Annual information within 3 months after the AGMReports includes a checklist of what the annual lodgement needs. Contact updates are tracked at 28 days. The software does not log into Strata Hub for you. NSW: annual reporting
- Retention
Keep required records at least 7 yearsOriginals are stored privately, hashed, and marked confirmed or superseded. The complete structured export is there so a later committee — or a later system — is not locked out. NSW: record keeping
